How do I set up my Brother machine's built-in Message Center?

Your Brother machine has a built-in digital Message Center that allows you to store up to 99 incoming voice or fax messages. Voice messages can be up to 3 minutes in length and can be accessed remotely by using a Remote Access Code. Please note that the number of messages you can store will depend on how much of your Brother machine's memory is being used by other functions.
Please note that if you want the Message Center to store incoming faxes, then you must enable the Fax Storage feature separately. You must set up the Message Center in the following order:


Recording the Message Center Outgoing Message (OGM)

  1. Press Menu/Set, 2 (Fax), 7 (Setup Msg Ctr), 1 (OGM).
  2. Press the up or down arrow key to select Msg Ctr OGM.

This is the ONLY setting you can choose if you want to enable the Message Center.

  1. Press the Menu/Set key to confirm your choice.
  2. Press the up or down arrow key to select Record OGM.
  3. Pick up the Brother machine's handset and records your outgoing message.
    For example: "Hello. We are unable to take your call at this time. Please leave a message after the signal. If you wish to send a fax, please press *51, wait until you hear fax tones, then press the Start button."
  4. Replace the handset. The Message Center will play back your outgoing message. 
  5. Press the Stop/Exit key to exit the menu. You can now enable Message Center mode.

Activating Message Center Mode

To activate the Message Center Mode, simply press and hold the Message Center key until it is illuminated and the LCD reads: "MC: Msg Ctr". This key is located on the lower left of the keypad, immediately underneath the "Play/Record" key.

The Message Center key will flash on and off when you have NEW voice messages waiting to be reviewed. The LCD displays the total number of voice and fax messages stored in the Message Center memory.

Listening to and Erasing Your Outgoing Message
You can listen to your Outgoing Message at any time by following these steps:

  1. Press Menu/Set, 2 (Fax), 7 (Setup Msg Ctr), 1 (OGM).
  2. Press the up or down arrow key to select Msg Ctr OGM.
  3. Press the Menu/Set key to confirm your choice.
  4. Press the up or down arrow key to select Play OGM.
  5. Press the Menu/Set key. The Message Center will play back your outgoing message.

During OGM playback, you can adjust the volume by pressing the left or right arrow key.

  1. Press the Stop/Exit key to exit the menu.

If you are unhappy with your current Outgoing Message, you can erase it by following these steps:

  1. Press Menu/Set, 2 (Fax), 7 (Setup Msg Ctr), 1 (OGM).
  2. Press the up or down arrow key to select Msg Ctr OGM.
  3. Press the Menu/Set to confirm your choice.
  4. Press the up or down arrow key to select Erase OGM.
  5. Press 1 to erase the OGM.
    -OR-
    Press 2 to exit without erasing the OGM.

  6. Press the Stop/Exit key to exit the menu.

Playing Voice Messages
Follow these steps to listen to stored voice messages:

  1. Press the Play/Record key. The Message Center will begin to play your messages.

    • During message playback, you can adjust the volume by press the left or right arrow key.

    • All messages are played in the order that they were received. The LCD shows the number of the current message, and the total number of messages.

    • If Caller I.D. information was received, the machine beeps during the message and displays the Caller I.D. information for one second.

    • During playback, the LCD shows the date and time the message was recorded.

  2. Press the * (RWD) key at the end of a message to repeat that message. Press the # (FWD) to skip to the next message. You can press * and # repeatedly until you reach the message you want to play.

  3. Press the Stop/Exit key to exit the menu.

Printing Fax Messages
Once you print a stored fax message, it is automatically erased from the Message Center memory. To print stored fax messages, please follow these steps:

  1. Press the Play/Record key. After two seconds, the Brother machine will begin to play your voice messages.
  2. If Fax Storage is enabled and there are faxes stored in memory, the LCD will display, "Print Fax 1. Yes 2. No".
  3. Press 1 to print the faxes
    -OR-
    Press 2 to exit without printing the faxes.

  4. Press the Stop/Exit key to exit the menu.

Erasing Incoming Messages
You can erase voice messages individually or all at once. To erase voice messages individually, please follow these steps:

  1. Press the Play/Record key. The Brother machine sounds a two-second beep and begins message playback. Each message is preceded by one long beep, and is followed by two short beeps.
  2. To erase a specific message, press the Erase key during the message, or immediately after the two short beeps.
  3. The LCD will read, "Erase this msg.? 1. Yes 2. No". Press 1 to erase the message
    -OR-
    Press 2 to cancel.

  4. Press the Stop/Exit key to exit the menu.

To erase all messages at once, please follow these steps:

  1. Press the Erase key.
  2. Press the up or down arrow key to select erasing all voice messages ("Erase All Voice?"), all fax messages ("Erase All Fax?"), or all voice AND fax messages ("Erase All Msg.?").
  3. Press the Menu/Set key to confirm your choice.
  4. Press 1 to erase the selected messages
    -OR-
    Press 2 to cancel.

  5. Press the Stop/Exit key to exit the menu.

Setting the Maximum Time for Incoming Messages
By default, your Brother machine is set to receive voice messages that are up to 30 seconds long. You can change this setting to 60, 120, or 180 seconds by following these steps:

  1. Press Menu/Set, 2 (Fax), 7 (Setup Msg Ctr), 2 (ICM Max. Time).
  2. Press the up or down arrow key to select 30, 60, 120, or 180 seconds.
  3. Press the Menu/Set key to confirm your choice.
  4. Press the Stop/Exit key to exit the menu.

Incoming Message Recording Monitor
The Incoming Message Recording Monitor feature allows you to turn the speaker volume for incoming voice messages on or off. If you choose the turn this feature off, then you will not hear messages as they come in. To change the Incoming Message Recording Monitor setting, please follow these steps:

  1. Press Menu/Set, 2 (Fax), 7 (Setup Msg Ctr), 3 (ICM Rec. Monitr).
  2. Press the up or down arrow key to select "On" or "Off".
  3. Press the Menu/Set key to confirm your choice.
  4. Press the Stop/Exit key to exit the menu.

Recording a Conversation
If you are using the Brother machine's handset, you can record a telephone conversation by pressing the Play/Record key during the conversation. You recording can be as long as your maximum Incoming Message time. The other party will hear an intermittent beep during the recording. To stop recording, simply press the Stop/Exit key.
