Send Scanned Data to an Email Recipient
- To send scanned data to an email recipient, you must configure your machine to communicate with your network and email server, which is used to send and receive emails.
- You can configure these items in Web Based Management.
- To use the Scan to Email Server function, your machine must be connected to a network and have access to an SMTP server. You will need the following SMTP information before you can proceed:
- Server address
- Port number
- User name
- Encryption type (SSL or TLS)
- Email server certificate (if used)
If you do not know this information, contact your email service provider or network administrator.
- Press or to display [to Email Server], and press it.
- Do one of the following to enter the destination email address:
- To enter the email address manually, press [Manual], and then enter the email address using the keyboard on the LCD. When finished, press [OK].
If the email address is stored in the machine's address book, press [Address Book], and then select the email address.
Press [OK].
- Press to confirm the email address, and then press [OK].
- To change the scan settings, press [Options]. Configure the following settings:
Option Description 2-sided Scan When using 2-sided scanning, select 2-sided Scan: Long Edge so the layout of the data file pages matches your original scanned document.
Colour Setting Select the colour format for your document.
Resolution Select the scan resolution for your document.
File Type Select the file format for your document.
Document Size Select your document size.
Sender Subject Type a sender subject for your email.
File Name Rename the file.
File Name Style Select the order in which the date, counter number, and other items appear in the file names.
File Size Select the file size for your document.
Edge Fill For Plastic Card When On is selected, the four edges of the scanned plastic card image are filled with white space.
Edge Fill For Plastic Card is available only for scanning from the Card Slot.Skip Blank Page When On is selected, blank pages are skipped.
Document Separation Split a scanned image.
When multiple documents have been scanned, you can split up and save documents separately by using this function. You can also set the number of pages to split a document by.
Colour/Grey TIFF Compress Select the compression TIFF file type for a colour/grey document.
B&W TIFF Compress Select the compression TIFF file type for a monochrome document.
Advanced Settings Continuous Scan Scan more pages than the maximum capacity of the ADF and save them as one data file.
After scanning the first batch of documents, press Continue to scan additional pages. When finished scanning, press Complete.
Colour Tone Adjustment Adjust the brightness and contrast.
Adjust Auto Colour Detect When Colour Setting is set to Auto, you can adjust the detection level of colour.
Skip Blank Page Sensitivity Select the sensitivity level for detecting blank pages in the scanned data. The higher the sensitivity, the easier it is for the machine to detect blank pages.
Margin Settings Adjust your document's margins.
Set New Default Save your settings as the default settings.
Factory Reset Restore all settings back to the factory settings.
- To save the settings as a shortcut, press [Save as Shortcut].
- Press [OK].
- Press [Start].The machine starts scanning.
